Application funnel
A hosted application page or embedded directly on your website – with dynamic fields, an availability query and consent. Helpers don't have to register.
Helpers apply through your website, your pool remembers who can do what – and auto-distribution suggests the plan to you.
From winter 2026 – get in touch
The problem
Cita.Crew turns shout-outs into a plan.
How it works
Four steps – from the application form on your website to the confirmed shift.
You embed the application form on your website – or use the hosted page. Helpers apply with no registration required, providing their availability and consent.
You see qualifications and confirmed attestations right in the flow. Whoever you accept lands in your helper pool with opt-in.
Auto-distribution suggests the plan to you – with a preview. You confirm before anything is sent out.
Every helper gets a magic link, sees their assignments and accepts or declines. Every response lands in the plan.
Features
Six building blocks, one plan: from the helper's first click to the printed sheet at the entrance.
A hosted application page or embedded directly on your website – with dynamic fields, an availability query and consent. Helpers don't have to register.
Accepted helpers land in your org-wide pool with opt-in – including roles, qualifications and confirmed attestations, such as the hygiene training with a timestamp. For the next event you simply ask them again.
Shifts by day, role and time – with target headcount and lead. Time overlaps and availability conflicts appear as warnings, gaps are shown by the coverage overview, and you print the finished plan as a notice sheet.
Three strategies: even, coverage or skill-fit – always within real availability. You see the preview and confirm before anything is sent out.
Under “My assignments“ helpers see their shifts, confirm or decline – via magic link, even without an account. Every response lands straight in your plan.
Hours times rate, tracked per shift as paid, ticket or voluntary – with a budget overview across the whole plan. Notes on minijobs and the minimum wage help with planning, but do not replace legal advice.
Privacy is the default. Consent is mandatory in the application funnel, only what is needed is collected, and data is automatically anonymised once the retention period expires. The helper pool is opt-in – the default is: off.
Platform
Same account, same organiser hub: you manage crew and events in one place. You can optionally couple your crew plan to an event in Cita.Events – but it works without one too.
Cita.Crew is available soon. Tell us how you plan today, and we'll get back to you.
